Module Generator: Basic funktions of the legal register module

Good to know: The Legal Register module is based on the standard module template of the Module Generator. Modules can be customized to meet your individual requirements. This guide describes the basic features of the standard template.

Module Objective

The Legal Register module helps your organization identify, describe, and assess legal requirements. It enables systematic management of legal regulations and makes them accessible to your employees.

Workflow

Legal regulations go through the following statuses:

  • In Preparation
  • Active Legal Regulations
  • Inactive Legal Regulations
  • Templates

In Preparation

Newly created legal regulations are in this status and undergo a review and planning phase. Once all relevant requirements and measures are fulfilled, the regulation moves to the next status.

Active Legal Regulations

These are legal statutes, laws, or regulations that are currently in full effect and legally binding for your organization. Active legal regulations are regularly reviewed, updated, and adapted to changing legal conditions.

Inactive Legal Regulations

These are regulations that are no longer in full effect or have lost their legal binding force for your organization. Inactive legal regulations may be of informational interest and document relevant legal developments. You can reactivate them at any time.

Templates

Templates allow you to create copy templates for new legal regulations. You can define task packages that are automatically assigned to new regulations when using the template.

Module Element

A module element is divided into three sections:

  • Metadata of the legal regulation
  • Internal implementations related to the legal regulation
  • Task management

Metadata of the Legal Regulation

Here you maintain general information to classify and monitor the legal regulation in the context of your organization. External metadata is provided by the legislative authority or statute text. You also maintain internal metadata: date of last and next review, responsible person, and current status.

Internal Implementations Related to the Legal Regulation

Here you document special notes or information required for the internal implementation of the legal regulation.

Task Management

Once you have created a legal regulation, you can define tasks associated with it at this point – such as regular reviews or monitoring. Predefined task packages can also be created via templates.

Rights Management

Under Roles, you will find the role "Legal Register Responsible". Users or groups assigned to this role are notified of any changes to the Legal Register. By default, admin users are assigned to this group.

Possible Customizations

Before using the module for the first time, we recommend the following steps:

  • Populate the "Legal Register Responsible" role in the module configuration.
  • Create a template for legal regulations – including the tasks that each responsible person should complete after creation.
  • Restrict permissions if needed. By default, the creator of a regulation and the role "Legal Register Responsible" can initiate and carry out status changes.
