Module Objective
This module simplifies your fleet management. As a fleet manager, you get a complete overview of all company vehicles, their assignments to employees, and the tasks associated with each vehicle.
Process Flow
The fleet follows this process:
- You submit a vehicle request.
- After the request is approved, you order the vehicle.
- Upon delivery, you register the vehicle as an "active vehicle" in the fleet.
- When a vehicle is no longer needed (e.g., at the end of its useful life), you deactivate it in the fleet.
- After sale or scrapping, you change the vehicle status to "former vehicle" – this preserves the vehicle history.
Module Elements
The module elements represent your vehicles. Each vehicle consists of the following sections:
Contract Information
Here you'll find all financial aspects of the vehicle: lease contract details, delivery date, and information about dealers and fuel cards.
Vehicle Information
This section contains the technical data of the vehicle:
- Make, model, vehicle identification number (VIN)
- License plate and tires
- Vehicle inspection (MOT) due dates
- Assigned driver
Papers and Additional Documents
Here you store all relevant documents digitally: contracts, registration papers, and other vehicle-related documents.
Task Management
In this section, you create tasks for drivers, fleet managers, and other team members. This ensures that inspections, maintenance, and other regular tasks are completed on time.
Rights Management
Under **Roles**, you'll find the "Fleet Manager" role. Users and groups listed there have permission (in addition to Key Users) to view all vehicles. By default, vehicles are visible to all employees – you can adjust this in the module configuration.
Important: Only the fleet manager can perform all vehicle status transitions. The only exception is the "Request vehicle" action, which is available to all employees.
