Module Objective
The Measuring Instrument Module serves to document and manage measuring instruments in your organization. It provides you with a transparent overview of your available measuring instruments. Through the module, you can track which measuring instruments have been tested and are ready for use (active measuring instruments) or which measuring instruments must not be used (under maintenance or non-conforming).
Measuring Instrument Status
The Measuring Instrument Module manages measuring instruments of all kinds. Each measuring instrument can have one of the following statuses:
- New measuring instrument
- Active measuring instrument
- Non-conforming measuring instrument
- Measuring instrument under maintenance
- Measuring instrument under calibration
- Locked measuring instrument
Measuring Instrument Templates
Measuring instrument templates make it easier for you to create predefined measuring instrument types. You can use the templates created as copy templates for new measuring instruments. Unique or special measuring instruments can also be created without a template.
Workflow from New to Active Measuring Instrument
A newly created measuring instrument element initially receives the status new measuring instrument. To put it into operation, you must activate it (status: active measuring instrument). Active measuring instruments must be regularly maintained and calibrated, may have defects, or can be deactivated.
Reporting Errors and Processing
When you report a measuring instrument error, the measuring instrument is transferred from active status to non-conforming measuring instrument status. Any employee can perform this step. From this point, a measuring instrument must either be serviced, calibrated, or locked – only users with the "Measuring Instrument Responsible" or "Responsible Employee" role can perform these steps.
Maintenance and Calibration
Measuring instruments under maintenance and measuring instruments under calibration can only be processed by employees with the roles "Measuring Instrument Responsible" or "Responsible Employee". This prevents accidental activation of non-conforming or locked measuring instruments. After the status Measuring instrument under maintenance, the status Measuring instrument under calibration always follows.
Locked Measuring Instruments
Locked measuring instruments must go through the status Measuring instrument under maintenance and/or Measuring instrument under calibration before they can be reactivated.
Structure of a Measuring Instrument Element
A single measuring instrument element is divided into four sections:
- Measuring instrument registration
- Measuring instrument inspection plan
- Work order management
- Inspection protocols and instructions
Measuring Instrument Registration
The measuring instrument registration serves to uniquely identify the measuring instrument. In addition to the name, you document the measuring instrument manufacturer, serial number, acquisition date, and work location.
Measuring Instrument Inspection Plan
The measuring instrument inspection plan documents the required measuring instrument inspections. You record the inspection interval, the date of the last inspection, the date of the next inspection, and the employee responsible for the inspection. The date of the next inspection should be set in the future according to the duration of the inspection interval. Once the date is exceeded, the measuring instruments must be inspected again. You then document the inspection date as the date of the last inspection and set a new date for the next inspection.
Work Order Management
In work order management, you assign future maintenance orders, calibration orders, or other orders to the responsible measuring instrument employee. This allows the responsible employee to view upcoming measuring instrument inspections in the "My Page" area in Q.wiki.
Inspection Protocols and Instructions
In the Inspection Protocols and Instructions section, you upload relevant supplementary files (Word, Excel, PowerPoint, PDF, etc.) for inspecting the measuring instrument.

Module Customization Required
The Measuring Instrument Module is ready to use once you configure the responsible measuring instrument users or groups with the corresponding role in the module configuration.
