In individual modules, elements are deleted through workflows. Each module has a special Deleted status that remains hidden from users outside the Module Owner and Key User groups – deleted elements are neither searchable nor visible in overview pages or other dialogs.
Overview: The Deleted Status
The Deleted status exists automatically in every module. You can't remove it, but you can rename it for each module.
Managing deletions through a workflow offers clear advantages:
- Deleted elements stay organized within the module and remain visible to module owners and key users.
- You flexibly configure which statuses allow deletion, which users can perform the deletion, and who gets notified.
- Using outgoing transitions from the Deleted status, you control restoration: Define which status an element returns to and which users get notified.
- You don't need to manage transition permissions separately, since deleted elements are only visible to module owners and key users anyway.
Important: Archive vs. Deleted Status
Important: The Deleted status is not an archive function. Deleted elements are only visible to module owners and key users – you can't add a tab on the overview page that displays them for other users. If you need an archive that's accessible to everyone, you must create it using an additional status.
