Statistics in Q.wiki

The effectiveness of your Q.wiki system determines its value to your organization. The Usage Report (accessible from the Tool menu with Key User rights) helps you understand how active your management system is and how to optimize it.

Overview

The Usage Report shows statistics for the past 12 months. With it, you can answer key questions:

  • How well is Q.wiki being used? – Transparency over active usage
  • How vibrant is our Q.wiki? – Identifying outdated content
  • How often do approval processes run? – Workflow efficiency
  • How many changes occur over time? – Measuring system dynamics

Read and Write Access

Your management system's value grows with its usage. Recurring use by many employees is the central indicator of an effective system.

Read access reflects overall consumption – it shows how often pages are opened and demonstrates the current relevance of your documentation. Write access is the number of save operations and documents how often content is updated. Important: Write access is counted regardless of the quality of changes. Continuous updates are crucial to keep content relevant.

Tip: In our experience, a ratio of 1:8 to 1:12 for write-to-read access is healthy. In other words: if roughly one in ten accesses is a write operation, your management system remains sustainably effective.

Interactivity

Interactivity shows how many users per month make write access. This gives you insight into how decentralized the system is: the higher the interactivity, the more employees actively work in the management system and make updates.

If you have many write accesses but low interactivity, it's a sign that only a few users write for many. This means high dependency on key individuals.

When many employees are active in the system, you've achieved the transition from dependency on individuals to a participatory system – a good indicator of acceptance of your company's processes.

Top 10 Editors

This metric helps you identify the most active users and analyze dynamics within departments. Monthly analysis can reveal seasonal or project-related fluctuations in usage.

Important: Don't evaluate this data in isolation, as it doesn't directly indicate the quality of contributions.

Released Pages

Released changes show the sum of final approvals within the selected period. They are an indicator of a functioning approval workflow.

Many change proposals with few releases could mean processes are stalling. The number of releases depends on the number of changes – when these figures are in a similar ratio over time, it indicates a fast approval workflow and ensures documentation is updated nearly in real time. This implies high content currency.

Google Analytics Integration

By adding a Google Analytics identifier to Q.wiki, you can use Google Analytics features and run detailed reports on system usage. Support will help you set up the identifier after it's created on your end.

WebStatistics for Individual Sections

Statistics are stored permanently in Q.wiki and can be accessed for individual sections via the URL [section]/WebStatistics – for example, www.myqwiki.com/Processes/WebStatistics.
